How to run a wedding reception table without the chaos
The reception table is usually run by two or three friends who were asked a week before. They are the first people your guests meet, so it is worth giving them a plan.
Before the day
- One list, not three. Merge your RSVPs, tables and any VIP notes into one guest list.
- Number your guests. A short number per guest makes it easy to match a gift or red packet to a name later, even when two guests share a name.
- Brief your helpers. Who to look out for, where the family tables are, and who to call if something goes wrong.
On the day
- Search, don’t scan a printout. Finding a name in a long printed list takes time. Searching a few letters on a phone takes seconds.
- Mark arrivals. When several helpers work at once, arrivals should sync between their phones so no one is checked in twice.
- Point people to their table. Tell each guest their table as they arrive, or let them look it up on their own phone.
- Know who’s missing. Before dinner starts, check who hasn’t arrived so the couple isn’t kept waiting.
After
Hand the couple one clean record: who came, and which gift came from whom. They will be grateful when they write thank-you notes.
Keep This Day’s day-of check-in gives every guest a short number like #042, keeps every helper’s phone in sync and shows each guest’s table as you check them in.
